You searched for the best HRMS software in India, opened five "top 10" lists and found five different winners. Each list is written by a vendor, and each vendor ranks itself first. Many companies pick a name from such a list, sign a one-year contract and find the problems in the third month: payroll does not match the old register, the shift rules do not fit the factory, and the monthly statutory reports still need Excel.

An HRMS built for another country will not survive an Indian payroll month. Whatever product you choose, it must handle these items without manual work in Excel:

  • Provident Fund calculation and the monthly ECR file.
  • Employees' State Insurance contributions for eligible staff.
  • Professional Tax with the correct slab for each state.
  • TDS on salary, investment declarations, proof collection and Form 16.
  • Labour Welfare Fund, bonus and gratuity calculations.
  • Full-and-final settlement with leave encashment and notice pay.

Rules change, and the vendor must keep up. The EPF wage ceiling, for example, was raised to Rs 25,000 a month in September 2026, and every payroll system had to be updated for it. Ask each vendor how quickly they released that change and how they informed customers. Their answer tells you more than any brochure. The Fix: A 7-Step Method to Choose Your HRMS

This method takes about three to four weeks for a mid-size company. It replaces opinion with evidence.

  1. Write your must-have list. List the ten things the system must do in the first month, such as "run payroll for 3 salary structures" or "pull punches from our biometric devices". Mark each as must-have or good-to-have. Keep it to one page.
  2. Collect your hard cases. Pick six real employees whose pay is difficult: one with arrears, one who joined mid-month, one on overtime, one who resigned, one with a loan deduction and one in another state. Remove names if you wish, but keep the numbers.
  3. Shortlist three vendors. Use lists only to find names. Remove any vendor who cannot show customers of your size and workforce type, or who will not share a clear price sheet.

  7. Test the exit and check references. Ask for a sample export of employee master, payroll history and documents. Speak to two customers who have used the product for more than a year, and ask them about month-end support.
