Under GST, a business can claim input tax credit only when it holds a valid tax invoice for the purchase. Hotel stays, some travel bookings and business purchases made by employees can carry GST that your company may be able to claim, but only if the invoice is collected in the company's name with the correct GSTIN and reaches the accounts team in time. - Multi-level approvals: claims route to the right manager and then to finance, with reminders so nothing sits idle.
- GST details captured: vendor GSTIN and tax amounts are recorded so finance can identify invoices eligible for input tax credit.
- Duplicate detection: the system warns when the same bill or amount appears more than once.
- Advances and settlements: travel advances are tracked and adjusted against the final claim.
- Integration with accounts and payroll: approved claims flow into your accounting system or ERP, and reimbursements can be paid through payroll or bank transfer.

- Clean up your expense policy first. Software will enforce whatever rules you give it. Review limits, eligible expense types, required documents and approval levels, and remove any rules nobody follows. Get finance and HR to agree on the final version.
- Map your approval flow. Decide who approves what: reporting manager, department head, project owner or finance. Keep it to two or three levels for most claims. Longer chains only recreate the old delays.
- Choose between a standalone tool and a module in your HRMS or ERP. If you already use an HRMS or ERP, an expense module that shares employee data, grades and cost centres can save a lot of integration work. If not, a standalone tool that connects to your accounting system is fine.
- Set up integrations. Connect the tool to your accounting system so approved claims create entries automatically, and to payroll or banking so reimbursements are paid without manual data entry.
- Pilot with one team. Start with a sales or service team that files many claims. Collect feedback for a month, fix confusing steps and adjust rules that cause too many exceptions.
- Roll out, then stop accepting paper. Train all staff with a short session and a one-page guide. Set a clear date after which paper claims are no longer accepted, except for rare cases. Running both systems side by side for too long keeps the old problems alive.
Mistakes to Avoid
- Automating a bad policy. If limits are unrealistic, the system will flag almost every claim and approvers will learn to click "approve" without reading.
- Ignoring the employee experience. If filing a claim on the app takes longer than filling a paper form, people will delay it until month-end. Test the app with real users before rollout.
- Forgetting data privacy. Expense claims include personal details such as names, phone numbers and sometimes travel patterns. Choose a tool with proper access controls, and make sure only the right people can see each claim. This matters more now that the DPDP Rules, notified in November 2025, are being phased in.
- Skipping the accounting link. If finance still has to retype approved claims into the books, you have only moved half the work.
